You are very welcome to CIBHT College and the CIBHT website. I hope you will find your time in CIBHT to be stimulating, enriching, and a rewarding learning experience. By using the CIBHT website you acknowledge that you have read, understood, agree with and will be bound by the terms and conditions below. If you do not agree to these terms then please do not use this site.
All students must complete an application & health questionnaire form, which will be kept on the office file. If your health changes throughout the year, you must inform your tutor and update you health form.
All students must have an email account and ensure that your email address is on file in the office. You will receive constant updates and notifications via email through the duration of your course.
It is essential for all students to follow CIBHT on facebook and/or Twitter to keep up to date activities, news and events.
• Deposits paid are not transferable and are non-refundable- they are used to secure / reserve / hold a course place. The deposit will only be refunded if the course or courses do not take place as all courses are subject to numbers.
• Should the student fail to complete the course full fees remaining are due and payable to CIBHT.
• Fees are non-refundable, non-transferable and still payable should a student fail to complete a course or is asked to leave the course.
• Fees are payable as agreed with the accounts department, if payments are not made that students may be excluded from class and will not be allowed to sit any assessments
• CIBHT reserves the right to change/alter any payment plans entered into with students.
• Any equipment/kits must be paid for upon receipt of items or as agreed with the office.
• Payment plans must be strictly adhered to and payments must be made on or before specified dates.
• All students on a payment plan must complete a standing order form / card payment form and submit a copy to your bank and the CIBHT Accounts Department
• Failure to pay on the date due will incur an administration charge of €30 and may result in disciplinary action
• Failure to pay fees according to your agreed payment plan may result in cancellation of course place and inability to complete examinations and assessments.
• Fees are non-refundable if the courses is interrupted or cancelled through an act of God.
• All payments must be made even if you discontinue your training. Failure to do so may result in the debt being referred to a debt collection agency for recovery and legal action. Costs for this action will be incurred by you.
• A fee of €15 will be applied to every payment which is declined by bank/credit card company or payment not paid on agreed dates
• Payments will be processed on the last Thursday of the month;-unless otherwise agreed
• All courses are to be paid in full 1 month prior to the end date of any given course, unless otherwise agreed, failure to do so will result in exclusion from exams.
• All assessments and course work must be completed and signed off by the final date of class.
• In the event of you not attending your scheduled class, a fee of €40 per hour will be applied to the re-issue of additional training & assessment hours if required.
• Students must submit work on the due date given – Late fees may apply for any additional corrections needed outside of regularly scheduled completion dates.
• Students have 30 days to arrange collection of their qualification certificates – after this they will be placed in safe storage at which time a mandatory fee of €75 will apply.
Portfolio corrections or practical assessments required after the final date of class will incur extra tuition fees of €50 per item.
Refunds are granted in the following circumstances
1. If a refund is requested within 14 days of booking a course
2. If a course is cancelled by The Churchtown Institute of Beauty & Holistic Training (CIBHT)
3. If an International student is refused a Visa to study in Ireland
1. Refunds are processed within 30 days upon receipt of the refund form
2. These T&C's meet the guidelines of the new National Consumer Regulations June 2014
3. Learners who apply for a refund that do not meet the conditions for a refund but who do meet the conditions of a deferral will be granted a deferral with the appropriate deferral conditions attached.
Deferrals: A deferral application fee of €100 must be submitted with your completed deferral application form, this fee is refunded if the deferral is not granted. If the fee does not accompany the application, the application will be returned to the sender with a request for the appropriate fee to be included. Learners seeking a deferral must meet one of the following conditions;
Unavailability of Course Compassionate and Compelling Circumstances as follows;
Serious illness or injury with accompanying medical certificate
Bereavement of close family member to include parents, spouse, siblings or child
Traumatic experience which would include witness or involvement in serious accident, witnessing or being victim of serious crime
Paperwork to accompany the request for a deferral should include medical certificates, death certificate of family member, Garda or psychologists report.
You must have paid the full course fee before you can apply for a deferral
Upon complication of all aspects of your qualification you will be able to receive your certification; this will be ready for collection at the October Graduation ceremony.
Due to a number of lost documents CIBHT will not in a position post out certification in general mail, if you do not attend the graduation please arrange to have certificate collected from the college. Certificates not collected within 30 days of from course completion will occur an additional fee (please see fees and charges)
Students cannot transfer to another course at will. Students who wish to leave one course to join another should arrange a meeting with the Office.
If you are thinking of leaving your course (permanently or not) for any reason, you must remember that it is very important not to just “drop out”. If you leave your course in the right way, a suitable resolution may be arranged.
The first thing to do is to talk to your course tutor or Head of Department. A meeting will be arranged to advise you on the regulations covering the course fees and on any other implications of leaving the course.
If you decide to leave you must do so by writing a brief letter to the Office giving the date of your last attendance in college and fill in a Course Withdrawal Form.
Should the student fail to complete the course full fees remaining are due and payable to CIBHT.
• Course deferral charges: €300 (part-time courses). €700 (fulltime courses).
Probation may be defined as a period of varying length during which students and their work are under particular scrutiny in order to establish their capacity to complete the course satisfactorily. The purpose of putting a student on probation is to warn the student of an unsatisfactory level of achievement and thus to improve the quality of the student’s performance.
A student may be put on probation for any of the following reasons:
• Poor attendance record and timekeeping
• Overall achievements are below the standard required.
• Referral in particular modules of the course
• Incomplete submission of course work or work presented which was below the required standard.
• Standard of work needs to improve as otherwise student may not pass.
• Probation decisions are in the hands of the relevant Head of Department on the advice of the Tutors. This is communicated in writing by the Office to the student and a copy sent to relevant parties.
The No Smoking regulation came into force with effect from 29th March 2004. As a result no smoking is permitted in any part of CIBHT. This includes directly outside the main street endurance. These are strict regulations and must be adhered to by all staff and students.
Personal items should not be left unattended. It is always better to be safe than sorry – take care of your belongings and please leave expensive items at home! CIBHT will not take any responsibility for any items/valuables belonging to learners, lost , stolen or damaged while attending courses.
CIBHT external doors must be kept closed at all times, it is your responsibility to close the door after you enter or exit the building and after your “client” does the same.
• Students are requested to turn off mobile phones while in class.
• NO charging phones in the college.
• Mobile phone calls or text messages are not to be sent or received during lessons, as this will cause disruption of the class.
• In cases of emergency students may be contacted at CIBHT on 01-4586603
• Uniform consists of the following: black tunic, black slacks. Trousers are not to trail on the floor!
• Black flat shoes. A black cardigan may also be worn.
• It is important to look like a professional during your training.
• Personal Presentation should include: personal hygiene, professional appearance, make-up, hairstyling, daily shower, clean hair, use of deodorant etc
• Uniform must be kept clean at all times.
• Chewing gum is forbidden.
• It is the responsibility of the leaner to read any other documents as outlined by the CIBHT that relate to your studies at the college.
• You will need access to email; Correspondence will be conducted by email. You must inform CIBHT of any changes in email/contact information. Failure to do so may result in important information not being received.
• You will need access to internet; All CIBHT learning resources, home assignments, training videos are on the CIBHT Moodel (the VLE) ( www.elearning.ibht.ie)
• CIBHT will not be responsible for any items/valuables belonging to students while attending class.
• Learners & Tutors are not allowed to sell any products, equipment or services to other learners while attending programmes.
• CIBHT will not take responsibility for any allergic reactions due to the use of products in classes. The responsibility is on the learner to check ingredients in products provided.
• Learners will need to practice on each other, in the event of uneven numbers two learners may have to practice on one learner or learners may have to work on themselves
• CIBHT reserves the right to change class times, dates, trainers, products, materials, syllabus, student kits, rooms and exams where necessary or due to external factors beyond our control.
• In extenuating circumstances the college also reserves the right to conduct training from a different venue other than the one which you commenced your training at.
• In the event of you not attending your scheduled class, a fee will be applied to the re-issue of additional training & assessment hours if required
• CIBHT reserves the right to change class times/dates/timetables/trainers
• Class punctuality is vital: all students must arrive 10 minutes prior to commencement of class.
• CIBHT require 100% attendance in order for you to complete your qualification.
• Mobile phones must be turned off while classes are in progress.
• You must ring CIBHT if you are sick and unable to attend class, for over 2 classes missed due to sickness you must provide a Doctors letter.
• Students must submit work on the due date given, work not submitted on time will not be handed back within 14 days; corrections handed in bulk at end of course/ or after due date will incur a fine
• Abide by the college policies & code of conduct
• As part of a therapy qualification you will be expected to part take in the Open Salon student Clinics
• For verification (Internal and External) purposes a sample of students will be chosen to be assessed. The Verifiers are given a list of all the students studying at CIBHT, and they choose a sample of students to observe for verification purposes.
• You should therefore expect to have to attend for assessment on at least two occasions outside of your normal class times. This may be on a weekday, weekend during normal working hours and you will be given adequate notice.
• It is important that you realise that this is not optional but a mandatory requirement of your course.
• If chosen for EQA/IQA you must attend CIBHT on the day selected by the EQA/IQA with your portfolio and record of assessment book; failure to do so may result in over all course failure.
It is important to know the first aid experts within your Department. Most of the Tutors and Head of Department will have been on a first aid course. You should also note where the first aid kit is located within your Department. A first aid kit is available at all times from reception. All accidents, however minor, must be reported immediately and recorded in the Accident Report Book. The Accident report book and first aid kit are located at reception.
A fire drill is conducted each term. On hearing the fire alarm you should leave your area immediately and go to the appointed meeting place.
There is 1 fire point (fire extinguisher) at the hair studio.
There are 2 fire points within CIBHT: At the end door of the clinic classroom & at the door of the backwash stations.
There are 2 types of fire extinguisher:
1. Foam for wood, paper, textiles etc, and flammable liquid fires
2. CO2 for electrical and flammable liquid fires
If you discover a fire:
• Do not panic
• Raise the alarm
• Vacate the premises
• Report to the fire meeting point: in the carpark marked "Fire Assembly Point" outside main door
• Do not return to the building until authorised to do so.
• Exit points – Main Door
• Please note there is no classes on Bank Holiday weekends
• Part time Fitness Instructing & Personal Training will run on Saturdays from 9am -5pm.
• Part time evening courses scheduled Monday & Wednesday 7pm-10pm
• Gel nail course 5pm-9pm.
• Weekend courses are scheduled Saturday 10am-4.00pm
• Fulltime courses Monday to Thursday 10am to 4pm
• NB – for certain courses it is a requirement that you attend events external to the college. These events will be arranged on an ongoing basis and students will be given as much notice as possible.
• Final Assessments may be set on any day you will be given 6 weeks’ notice
• VTCT External Quality Assurance visits will not occur on a regular class visit if selected you must attend or you may not receive your qualification.
CIBHT sustains commitment to quality in teaching, learning; emphasises the value of honesty, integrity, commitment, engagement and achievement; and emphasises commitment to equality, and to dignity and respect for all members of CIBHT. As a consequence all members of CIBHT are expected to act responsibly at all times, to observe and abide by the Regulations not to engage in any activity which might bring the good name of CIBHT into disrepute.
Students are required to follow the course of studies for which they have registered. Students should be aware that 100% attendance is required on the basis of continuous assessment and a requirement of examination bodies. Students who are absent owing to illness are required to submit a doctor’s certificate for absences of more than two consecutive working days. Students are requested to arrive approximately 10 minutes prior to their class start time. Lateness is not acceptable as it causes disruption to the class and will negatively affect your fellow students. Absent students are requested to notify CIBHT by phone prior to their class start time. Texting or notifying another student of your absence is not acceptable. Excessive absenteeism may result in disciplinary action or course referral or may require the student to repeat the course or certain modules. This inevitably will incur extra cost. Students are requested to take holidays outside of term time. Students may experience a range of serious and unanticipated difficulties, which adversely affect their ability to study, complete assessments or attend their required classes and other learning activities. Normally such circumstances will include serious illness, hospitalisation, accident, family bereavement or other serious personal or emotional circumstances. CIBHT has a policy and procedure to consider such extenuating circumstances and is available through the Head of Department.
Should any student, during classes, or while engaged in practical work, work experience, seminars or any other academic work, be responsible for any breach of good conduct or discipline, or fail to obey instructions from any member of staff, or breach any regulations, such a member of staff may require the student to withdraw from the particular class or activity; the staff member, if they shall think fit, may bring the matter to the notice of the Head of Department and disciplinary action may ensue.
Students gain work experience as part of their training through the commercial CIBHT So Studio Salon. This is a requirement of your course to reach commercial industry standards. This work experience can be recorded on student’s CV and a reference will be issued on behalf of each participating student.
CIBHT endeavours to arrange for work placement for our Fulltime Students in local professional hair & beauty salons. CIBHT will arrange for interviews but it is up to each student to secure placement. CIBHT cannot be held responsible if work placements do not work out and you are asked to leave. Nor will CIBHT secure an alternative placement in this case. Professional Placements normally take place during June, July August. Students gain 1 day work experience per week for the duration of the course.
Student conduct on Work Experience
Where students obtain professional experience or work experience at a professional practice (referred to below as "the host institution"), they should be aware of all relevant policies.
Students registered to such programmes should observe the following code of conduct:
• Students must hold student insurance for work placements; to be purchased by student directly from AIT.
• Students should conduct themselves in such a way as to reflect credit on CIBHT and its students and not to bring CIBHT or the host institution into disrepute.
• Students should respect the staff, the property and the activities of the host institution as they would the staff, the property and the activities of CIBHT; conduct which would constitute a breach of this code if directed towards the staff, property or activities of CIBHT shall be considered a breach of the code if directed towards the staff, property or activities of the host institution, and section 6 of this code shall apply in relation to damage to the host institution's property as if it were CIBHT’s property.
• Students should acquaint themselves with any traditions, codes of conduct or internal regulations of the host institution and should comply with such traditions, regulations or codes of conduct.
• Students should apply for membership of any professional body relating to the profession for which they are studying, e.g.AIT / FHT / IMTA and should conduct themselves within the general ethics of the profession and comply with any professional guidelines in so far as they are applicable to students.
• Students should comply with the reasonable and lawful instruction of their supervisors.
• Students should comply with any disciplinary procedures or processes of the host institution or of the profession for which they are studying and shall be liable to any penalty which may be imposed following due process.
For the purpose of enforcing this code, CIBHT shall be entitled, but shall not be obliged, to investigate any complaint against a student arising from any alleged misconduct while on placement or any alleged failure to comply with a host institution's traditions, regulations or codes of conduct and, following the appropriate disciplinary procedures, CIBHT may impose a penalty in respect of such misconduct or failure to comply with a host institution's traditions, regulations or code of conduct as a breach of the Student Code.
The CIBHT annual Graduation Ceremony will take place in Killashee House Hotel on the third Sunday in October. This is a very special day to mark your successful year of study and the beginning of a very rewarding career. Tickets for your Graduation will be available from August. Please note all Diplomas will be ready for collection from graduation date and not before; except by special arrangement.
Damage to Property
Students are required to make good to the satisfaction of CIBHT any damage or loss which they intentionally cause to any property of CIBHT or for any such loss or damage which arises as a result of their being reckless or negligent. Students are similarly required to make good any damage or loss which they cause to the personal property of any other student or member of staff
Support meetings with Tutors
From time to time students may wish to discuss some topics or issues with their tutors/ Head of Department in private. CIBHT encourage communication between all students and staff to help to promote a successful training, working and learning environment. CIBHT do request that all students appreciate that Tutors work to a very tight schedule. All meetings therefore must be pre-arranged & booked in the diary, with your tutor/ department head, either in person, by email or phone.
Churchtown Institute takes its responsibilities with regard to the management of the requirements of the Data Protection Act 1988 & 2003, and subsequent amendments, very seriously. This document provides the policy framework through which this effective management can be achieved and audited.Churchtown Institute recognise that in order to carry out our services, we must collect personal data relating to the usage of our systems by our clients and their users
"Personal data" means any information relating to a living individual from which that individual may be identified (including, for example, their name or address) Churchtown Institute will manage any personal data in accordance with the Data Protection Act 1988 & 2003 and other related legislation, in whichever manner that such data is collected, recorded or used (whether on paper, databases, emails, CCTV or telephone records, or recorded by any other means). While CIBHT accepts that alcohol consumption in our society is legally and culturally normative, CIBHT have a zero tolerance policy in place in relation to alcohol. Disciplinary action will be taken for anyone found to be under the influence of alcohol or drugs while attending class, seminars, work experience, work placement or any other events or duties on behalf of CIBHT. Disciplinary actions will also be taken where the effects of alcohol/drugs consumption is having adverse effects on a student’s work and performance.
Research suggests that patterns of consumption amongst younger drinkers may involve binge drinking, carrying with it a particularly high risk of behavioural and health difficulties, whilst regular consumption of even moderate amounts of alcohol may create a health risk.
Research has identified the following alcohol related problems:
• Alcohol related deterioration in academic or work performance.
• Poor attendance and time keeping
• Drop out from College.
• Unprotected sexual activity following excessive drinking.
• Physical health problems caused directly by alcohol consumption.
• Serious mood disorders, to which alcohol is a major contributory factor.
Any act or omission, which affects adversely the rights of any other member of CIBHT, or which disrupts the orderly and responsible conduct of any CIBHT activity, or which violates any CIBHT regulations, shall constitute a breach of discipline. In particular, and without prejudice to the generality of the foregoing, the following are examples of offences:
• Breaches of examination/ assessment regulations as follows: Copying or cheating at any examination, assessment or test; Bringing notes or other unauthorised materials (including unauthorised electronic communication devices) into an examination / assessment; Removing scripts or other stationery from an examination/ assessment; Any other breach of the examination / assessment regulations or any offence involving the integrity of an examination & assessment.
• Plagiarism, that is the copying of another person's writings or works or ideas in any essay, project, report, oral, poster or slide presentation or other exercise, which forms part of the assessment requirement without due acknowledgement either wholly or in part of the original source of the material through appropriate citation.
• Conduct which is disruptive of or which may disrupt teaching or study.
• Abuse of alcohol or other substances
• Conduct interfering with the proper conduct of examinations & assessments.
• Conduct that interferes, or is likely to interfere, with the administration or the good order of CIBHT.
• Obstruction or harassment, including bullying, of any student, member of staff or persons carrying out activities on behalf of CIBHT in the performance of duties, work or other CIBHT activity.
• Damaging, defacing, stealing or misappropriating any property of CIBHT.
• Misuse of a Student Card or activities involving false pretences or dishonesty.
• Sexual harassment of any student or member of the staff at CIBHT.
• Smoking in CIBHT
• Contravention of any of the CIBHT Rules or Regulations.
• Acts or omissions by students while outside IBHT engaged in work experience, placement or assignment, organised by CIBHT or while representing CIBHT which would breach these regulations if committed in CIBHT.
• Activity, which adversely affects, or is likely to adversely affect, the reputation of CIBHT, its students or members of staff.
• Refusal or failure to pay tuition fees as per payment plan agreements.
• Incitement or encouragement of any other person or persons to do any of the aforementioned things.
CIBHT is committed to providing all of its students and employees with an environment free from bullying and harassment. Harassment of others by members of CIBHT – staff or students – will not be tolerated. This policy applies to students and staff both in CIBHT and at CIBHT associated locations and situations.
At CIBHT, bullying/harassment is defined as ‘repeated inappropriate behaviour, direct or indirect, whether verbal, physical or otherwise, conducted by one or more persons against another or others that could reasonably be regarded as undermining the individual’s right to dignity at their place of study/work’. An isolated incident of the behaviour described in this definition may be an affront to dignity at study/work but as a once off incident may not be considered to be bullying. Bullying puts at risk the safety, health and welfare of people at their place of study/work.
Sexual harassment is any form of verbal, non-verbal or physical conduct of a sexual nature that could reasonably be regarded as violating a person’s dignity and creating an intimidating, hostile, degrading, humiliating or offensive environment for the person. A single incident may constitute sexual harassment.
The intention of the perpetrator of the harassment or sexual harassment is irrelevant, the effect of the behaviour is what is important.
In relation to all aspects of employment, training and services CIBHT has an equal opportunities policy. Access to all CIBHT courses is open to all, regardless of gender, age, racial origin, nationality, creed, sexual orientation, marital status, employment status or disability .Everybody is treated in the same fair manner and will not be discriminated against as per Equal Status Act 2000.
It is the policy at CIBHT that all students must complete their course of study by the stated end date of their selected course. This includes but is not exclusively: all online assessments; task sheets; home assignments; case studies; report sheets; log sheets; related portfolio work; practical work; written assessments; practical assessments, work experience, Salon placement and any other work required for the qualification as directed by their Tutors.
It is the responsibility of the student to ensure that all work is completed as directed by their Tutors. Deadlines and guidelines are issued to facilitate this procedure.
It is vital to understand that any student that does not complete their course work as directed by their Tutors, to the standard required by the Awarding Body by the course end date, will not be ‘signed-off’ or gain their qualification. This is known as being ‘Referred’.
Where a Student is ‘referred’ on any element of their course work by the end date of the course, the student will have to repeat course modules or apply for an extension.
Repeating a course Module or getting an extension will incur extra costs in relation to training, assessment and course sign-off as required.
Costs will reflect the workload involved.
In the case where extensions are requested beyond the course end date; an additional charge of €50 per item will apply. An ‘Item’ being a single practical assessment, a single submission of paperwork or any other singular action required.
Cut Off Points
The cut-off point for course completion is the final date of the selected course.
The cut-off point for extensions is 2 months from the final course date.
Educational supports at CIBHT
Students with Specific Learning Difficulties (e.g Dyslexia, Dyscalculia,) should bring a copy of their Educational Psychologists Report, clearly stating that the student has a specific learning difficulty. This report must have been written within the previous five years.
All other students should have their disability verified by a medical consultant/specialist and you should bring a recent report from your medical consultant/specialist with you when you meet the Student Support Officer.
Please note that if you do not have an assessment report, you must discuss your learning difficulties with your Tutor / Department Head. You must complete a Learning Difficulty Report.
The purpose of the report and tutor discussions is to assess the likely support which the student might require for his/her academic studies.
The report should outline the following:
• The history and detail of the student’s disability.
• The impact of the disability on the student as regards the demands of the academic programme.
• Any suggestions of reasonable accommodation or supports that might be appropriate for the student in the context of higher education.
Student Salon & Assessment Days
It is the aim of CIBHT that during training you will gain experience as a professional therapist or stylist in a Realistic Working Environment. This will be achieved in normal class time, assessment days and the CIBHT Professional Student Salon. This is an integral part of your qualification, failure to attend and participate in, Salon Days can result in a referral.
It is the duty of all students to promote and encourage the general public, family & friends to avail of these reduced rate treatments offered in our Student Salon. A Price List is available at the Salon and from your tutor. Promotion is through Facebook & other social media.
You will be assessed on each practical skill at least 3 times throughout the course. These will be called formative and summative assessments & will take place during normal class time and on selected EV’s.
Models will be required as part of your training. You will have responsibility to provide models throughout your training. If this is not possible CIBHT will try to source models through Facebook & other social media.
Health, Safety & Hygiene
Drinking water will be supplied during classes and facilities will be provided for tea and coffee during breaks. Students are requested to wash their own cups and cutlery, and to keep the training and kitchen areas clean and tidy
In the Salon students are responsible for their own work area. Students must ensure they leave their workspace, as they would like to find it.
Workspace must be left clean and tidy
Vacuum & mop floors
Waste bins must be emptied
Any spillages must be cleaned up, so as to avoid accidents
You should always check that your electrical equipment is not damaged or broken and that wires are not exposed. Electrical equipment should be plugged out when not in use.
All stock must be cleaned & returned to the stock cupboard
Any equipment used must be cleaned thoroughly and stored safely ready for use
Any damages or faulty equipment must be brought to the attention of your Tutor.
Bins must be brought to the bin store.
Recycling materials to be put into the recycling bin only
For each practical / salon class, a Salon Manager will be appointed.
We recommend that all students complete a First Aid course before the end of their academic year / course.
It is imperative that while working in the student salon and with clients that all Health & Safety guidelines are adhered to.
You must maintain standards of professionalism as in a real working environment. All information obtained from clients is private & confidential and must be held on secure file. Payment must be received for all treatments and receipts issued at reception. Further appointments can also be made at this time.
Your Portfolio: Building Evidence of Course Work
All students must build a Portfolio throughout the duration of the course. This will be an A4 lever arch file containing all completed work: Home Assignments, Tutor Feedback, Evidence of practical work, Assessments, Audio-Visual materials etc.
Home Assignments, client consultations, case histories, task sheets and other paperwork are evidence of your knowledge and understanding.
All work should be presented in a professional manner - neat and legible. Typed work is preferred where possible.
Students can submit audio-visual work if required/preferred. This must be discussed with your tutor for clarification.
When presenting Home Assignments, your name, the name of the course and assignment number should appear at the top of the page. Pages should be numbered
You should write the question number, and then the question itself followed by the answer.
If the assignment is hand written it should be presented on lined paper with a margin, please only write on one side of the paper.
You will be given written assignment feedback.
On some occasions you may need to make corrections or additions to an assignment. This will be deemed a referral. In this case please re-present the assignment, along with the feedback form and the original.
Unless otherwise stated, you can be referred on a particular assignment twice only. The third submission must reach the standard required.
Deadlines are set for completion of all written work. These deadlines should be strictly adhered to. Work will only be accepted late if a formal request had been made for an extension of that deadline.
Students must submit work on the due date given, work not submitted on time will not be handed back within 14 days; corrections handed in bulk at end of course will incur a fine.Throughout the year there will be periodical reviews of your portfolio by your Tutor. There are specific ‘tasks’ or ‘performance criteria’ that must be met in order for your portfolio to be passed. Your Tutor will give you feedback after each review to help you complete your work to the required standard.
Assessment Process for VTCT Qualifications
VTCT qualifications are competency-based qualifications.
The aim of this document is to explain the assessment process to you in the simplest terms possible.
There are 5 main roles in the assessment process:
1. The Tutor
2. The Assessor
3. The Senior/Support Assessor
4. The Internal Verifier (IV) now - IQA Internal Quality Assurance
5. The External Verifier (EV) now - EQA External Quality Assurance
In the majority of cases at CIBHT your tutor is your Assessor. All assessors are nominated by VTCT; they have a recognised teaching diploma, and commercial experience, and have completed a formal assessor-training programme enabling them to gain the VTCT Assessor Award.
The Senior or Support Assessor is a senior tutor within the training centre. This person is there to support and help a new assessor with assessment decisions.
The assessors decision cannot be overturned by anyone except an IQA Internal Verifier, whose role is basically to check and make sure that all the assessors judgements are standardised, accurate and legitimate. The Verifier is at the heart of the quality assurance of competency based qualifications, both on behalf of the Awarding Body and within the quality and management systems of the training centre.
The EQA External Verifiers job is check that the Internal Verifier is maintaining standards, so as to ensure that all qualifications issued by the awarding body are of the same standard the world over!
During your course you will be continuously assessed for both practical and theory aspects of your subject. There are 2 main types of assessments: Formative assessment: done on an on-going basis throughout the course. This is for the purpose of assessing your ability/knowledge, giving feedback to you and identifying problems, giving corrective advice etc. Summative: done at the end of a course or module. These are final assessments where you are expected to be 100% competent. You will have a minimum of 3 summative practical assessments and 1 written summative assessment for each course/module. Written paper pass: 70% plus corrections.
At this time VTCT do not give percentages, credits, honours or distinctions, it is simply competent or not yet competent.
Record of Assessment Book: All registered students will receive a VTCT Assessment Booklet. This will be used by all students and tutors to record your competency for units for your specific qualification.
VTCT qualifications are based on continuous assessment and you must show your ability to perform certain activities to levels of performance expected in employment.
You must bring your assessment booklet with you to every class and fill in relevant sections on an on-going basis.
Performance Criteria: Every unit outlined in your assessment book for your qualification has a number of Performance Criteria that you must be able to do competently and consistently. You will be assessed on each PC in practical terms. Over time, you must show competence in all PC’s.
Range Statements: Throughout your course, you will have to show evidence of carrying out these performance criteria across a broad range of conditions. These Range Statements will prove that you are confident and capable of carrying out the treatments with a wide range of clients under a wide range of varying conditions.
Knowledge & Understanding:
Each unit has details of underlying knowledge that is essential to your qualification. You will demonstrate your knowledge & understanding through written/oral questions, special projects and assignments.
Evidence Type: You can provide evidence of having done these Performance Criteria and covered all of your Ranges in a number of ways. You can:
• be observed in class time
• be observed in assessment situations
• record your evidence of practice at home – audio/visual
• record your evidence as a case study – audio/visual
• be questioned orally (normally after observed performance)
• give written evidence of knowledge & understanding (home assignment/special project)
• show photographic evidence
All evidence must be valid, authentic, current, reliable and sufficient. All evidence must be relevant to Performance Criteria and Range Statements.
During the course you will build a portfolio, which is a collection of your evidence. Evidence must be: valid; authentic; relevant to performance criteria and ranges; current; reliable and sufficient.
You will not be signed off on a course/module until your portfolio is presented in a complete state and is marked as competent work. Your tutor/assessor will appraise your portfolio on a regular basis throughout your course. All paperwork, home assignments, case studies, etc. must be presented for marking according to the deadline set, and all work must be amended where necessary before your portfolio will be passed as complete.
Assessment Appeals Procedure for VTCT Qualifications
If a candidate disagrees with or has a complaint about an assessment decision they have the right to appeal. Churchtown Institute have a set appeals procedure that must be followed.
The aim of this document is to explain the appeals procedure in the simplest terms possible.
In the event that you wish to appeal, the steps you must follow are:
1. Contact your assessor and arrange to meet with them to discuss the assessment. If you are still not happy with the outcome:
2. Send the assessor a letter outlining your complaint. Your assessor will reply to you in writing within 1 week. If you are still unhappy:
3. You may A) Request to be reassessed by another assessor or to have another assessor look at the documentation or B) Request the Internal Verifier makes a decision as to your complaint or appoint another assessor to observe you.
If you are referred on final summative assessment and you have a serious complaint, you can request an external panel of appeal. All costs for the external panel will be passed to the candidate.
